Welcome to the latest Qualtrics bulletin! This issue is a big one: we're celebrating our first-ever Form Fest, sharing a great highlight story from DOM, and rolling out two brand-new guides to help you set up email templates and your own closed-loop ticket system.
Our First-Ever Form Fest: Thank You!
What a month. We just wrapped our first-ever Form Fest, and if the name doesn't quite capture everything that happened, well, we're keeping it anyway, because it was a hit.
Between an in-person training at DPS, a hybrid demo at IEDA, and a full slate of one-on-one sessions, we saw over 50 people show up across our group sessions, plus individual support for reps from eight more agencies working through some genuinely complex, high-stakes projects. A few of those hit major breakthroughs on the spot. Qualtrics sent three Technical Success Managers (TSMs) out to help make it happen.
To everyone who carved out time to meet with us in person: thank you. It meant a lot to spend that time with you, and in less than one week we already have three new stakeholders ready to adopt Qualtrics and two new surveys in the build pipeline as a result.
If you couldn't make it this time, don't worry. This was too good not to repeat, and we'll be back with another Form Fest in the near future.

Highlight Story
We want to showcase real success stories from our colleagues to highlight what is possible and celebrate their achievements.
Today, we recognize Melinda Mattingly, Wendy Ringgenberg, and the Department of Management (DOM) for building a robust survey system to support a statewide job task analysis (JTA) for the Iowa Law Enforcement Academy (ILEA). What started as a complex research need turned into a smooth, reliable survey experience for nearly 2,000 law enforcement officials across Iowa.

Project: ILEA Job Task Analysis Survey
Details: DOM's team was contracted by ILEA to conduct a job task analysis identifying the tasks necessary for law enforcement officers to perform on the job, work last done in 2014. With support from the Qualtrics Core Team, Melinda and her team built two surveys with 500 items each. Because of their size, the surveys were designed so participants could save their progress and return to complete them over several weeks, with weekly reminders to keep participants moving toward completion.
Since the surveys reached approximately 2,000 law enforcement officials statewide, the team spent weeks testing scenarios and troubleshooting potential hurdles to ensure a smooth experience before launch.

New Guide: Setting Up Email Templates and Tasks
There's a new resource available for anyone building email communications in Qualtrics: Guide to Setting Up Email Templates and Tasks.
This guide walks through how to set up an Email Task in a Qualtrics workflow, and pairs that with best practices for writing clear, accessible email templates, covering structure, tone, formatting, personalization, and testing before you send.
What's covered:
- Adding an Email Task to a workflow, step by step
- Subject line, sender, reply-to, and call-to-action best practices
- Voice, tone, and accessibility standards for internal and external emails
- Testing checklist before you send
Whether your emails go to coworkers or constituents, this is a good one to bookmark for drafting new templates or reviewing existing ones.
New Guide: Setting Up the Closed-Loop Ticket System
We've also published a new guide covering the Tickets Task, known as the closed-loop ticket system in Qualtrics. It turns a survey response, feedback submission, form, or application into a ticket, so you have one place to route it, track it, and act on it, instead of that response getting lost in a data report.
This guide walks agency staff through setting up the Tickets Task for the first time, covering key fields, naming conventions, and email notifications. A companion tutorial is available in the Qualtrics CX Workflows 101 video on the Qualtrics On-Demand training page.
Before you build your Tickets Task, make sure you have:
- A Ticket Team/Owner with the people who will work the tickets. If you need a new team created, or need members added to an existing team, submit a Qualtrics Request in ServiceDesk Plus. Naming pattern: Agency Acronym Project Name
- A clear idea of what should create a ticket.
- Determine what type of data should be included in the ticket details and do you or plan to report on the ticket data.
- An agreement on who owns escalations if a ticket doesn't get resolved in time.

New Monthly Series: Tuesdays with Qualtrics: New Release Spotlight
As a reminder from last month's announcement, this new monthly training series starts soon: Tuesday, September 8, 2026, 10:00–10:30 a.m. via Microsoft Teams.
Each session walks through Qualtrics features launched the previous month, so you can stay current on what's new.

Special Thursday Training: Qualtrics CX Survey 101
Date: Thursday, September 17, 2026
Time: 1:00 - 3:00 p.m.
Format: Virtual via Microsoft Teams
This beginner-friendly training is for anyone new to building surveys in Qualtrics CX, or who wants a refresher. We'll cover the core tools and features you need to get started, walk through common question types, and share best practices for survey design and accessibility.
This training takes the place of the regular Thursday office hours that week, same time slot, no separate office hours session on September 17.
