We have several important updates to share as we continue improving our tools, support, and overall Qualtrics experience across the State of Iowa. In this edition, you’ll find schedule updates for next week, new support resources, progress on key roadmap milestones, a featured agency success story, a new 2‑Minute Tip, and extended support time. Whether you're building surveys, exploring dashboards, or learning new features, there’s something here for everyone.

No Office Hours or Bookings Next Week

With the X4 Qualtrics Conference taking place next week (March 16-20), support availability will be limited. There will be no Office Hours or 1:1 bookings, and reviews or approvals may take longer than usual. Please plan ahead and adjust timelines as needed.

More Support Pages

Two new support pages are now available to give you one place to find success stories from across the state and all 2‑Minute Tips to support your ongoing learning. These pages will continue to grow and expand over time.

Exciting Milestones Ahead: Dashboards and Studios

Important roadmap milestones are approaching, and we are in the final stages of launching role‑based access for all State of Iowa CX Projects. Access to these projects will introduce clearer, more transparent visibility and quicker access to support resources directly within Qualtrics.

These milestones include delivering:

  • The Enterprise Review and Approval Dashboard

  • The Agency Approver(s) Dashboard

You can learn more about these roadmap milestones in the bulletin posted on February 13, 2025.

Here’s what’s coming:

  • Studios

    • CX Engage Studio (All users)

      • The CX Engage Studio will provide quick access to a variety of helpful resources, including enterprise tools, reviews, and dashboards.

    • CX Champions Studio (CX Champions only)

      • The CX Champions Studio will be a central hub for our Champion community, where you can find access to key resources, documentation, and artifacts that support the CX program.

  • Dashboards

    • Review and Approval Dashboard (All users)

      • This dashboard will show an overview of surveys that are currently in review, their status, and any actions that still need to be completed.

    • Agency Approver(s) Dashboard (Designated approvers only)

      • This dashboard provides access to surveys awaiting review, allowing approvers to complete required checks and move surveys forward.

This change is informational only for now. The new project will appear in your Qualtrics account soon. This is expected and intentional. More details will be shared once updates are finalized.

In the meantime, here are two helpful resources:

Highlight Story

We want to showcase real success stories from our colleagues to highlight what is possible and celebrate their achievements.

Today, we recognize Angela Stagg, Christina Jackson, and the team at Iowa Workforce Development (IWD) for their thoughtful and forward-looking work to modernize eLearning course evaluations. When faced with the need to improve reporting and align with statewide technology initiatives, Angela and Christina led the transition from Microsoft Forms to Qualtrics, creating a more reliable, efficient, and scalable process.

Agency: IWD – Iowa Workforce Development
Creators: Angela Stagg and Christina Jackson
Project: eLearning Course Evaluation Modernization

Details:
IWD depends on end-of-course evaluations to measure how well eLearning modules are working and to guide future course development. Previously, each course had its own Microsoft Form, which made reporting difficult and limited opportunities for dashboarding and long-term analysis. To strengthen data quality and support the State of Iowa’s technology strategy, Angela and Christina moved these evaluations into Qualtrics.

Their goal was clear: improve the process by shifting from Microsoft Forms to Qualtrics while maintaining consistency, reducing errors, and increasing efficiency.

Working closely with DOM DoIT, Angela and Christina built the first Qualtrics survey, used the Expert Review tool, and participated in a 1:1 review session. They applied feedback from the DOM DoIT Quality and Security Comprehensive Review and used AI-based checks to ensure the survey met plain language and accessibility standards.

After final approval, IWD published the survey and added it to the Qualtrics Library, creating a reusable template that sped up future development.

Using this template, the team created 14 customized surveys, each requiring only minor updates for individual courses. This consistent, repeatable process improved turnaround times, reduced the review workload, and ensured quality across all evaluations.

IWD distributed these surveys directly within Workday courses to collect more timely feedback and make ongoing improvements to training materials.

Great job, Angela, Christina, and the entire IWD team.
